A photo looks sharp and beautiful on your phone or monitor, and then in print it suddenly turns soft, as if someone gently smudged it. This is a very common surprise - and luckily an easy one to avoid. The whole secret hides in a single idea: resolution. Once you understand how it works, you will know in seconds whether a given photo is fine for a leaflet or whether it will only work on a large poster.

What resolution actually is
Every photo is built from tiny squares - these are pixels. On screen you see them as a smooth image because they are very small. Resolution simply tells you how densely those dots are packed on the print. It is described by the abbreviation dpi, meaning the number of ink dots per inch (an inch is about two and a half centimetres).
The more dots fit on the same piece of paper, the sharper and more detailed the image is. When there are too few, the printer has to enlarge each one - and that is when the characteristic softness or visible steps along the edges appear.
Why 300 dpi is the golden standard
In printing it is accepted that 300 dpi gives an image that looks perfectly sharp at a normal viewing distance. Our eye simply no longer distinguishes individual dots - it sees a smooth photo. This value is proven for leaflets, business cards, catalogues and most materials you hold in your hand.
Remember one thing: 300 dpi counts for the final print size, not for the screen. The same photo can have a lovely 300 dpi on a small advertising leaflet and at the same time too few dots if you tried to stretch it across a large area.
You do not have to manually set 300 dpi in every program. What matters is that the photo has enough pixels relative to the print size - the graphics software will do the rest of the maths. When there are enough pixels, the image will be sharp.
Where blurry photos from the internet come from
The images you see on websites and social media are deliberately slimmed down so they load quickly. They usually have 72 dpi - which is perfectly fine for the screen, but about four times fewer dots than print needs. That is why such a photo looks nice in a browser and turns soft on paper.
The trap is that on screen everything seems fine. The problem only shows on the finished print, when it is already too late. That is why photos saved straight from the internet, screenshots or small images from a search engine rarely make good printed material.
A photo is judged not by how it looks on screen, but by how many pixels it truly contains.
How to check in a minute whether a photo will work
You do not need any specialist program for this. Just check the photo dimensions in pixels - in Windows, right-click the file and choose properties, on your phone look at the photo details. You will see two numbers, for example 3000 by 2000.
Now a simple rule. To know how large a print you can make at full quality, divide the number of pixels by 300. A photo of 3000 pixels divided by 300 gives 10 - so you can comfortably print it up to 10 inches wide, roughly to A4 size. That is enough for most leaflets and photos.
- Around 1000 pixels - good for small elements, for example a photo on a business card.
- Around 2500 pixels - a comfortable size for a leaflet or a catalogue page.
- 4000 pixels and more - that is material for larger formats and advertising posters.
Do not go by the file size in megabytes. A heavily compressed photo can weigh very little and still have plenty of pixels. Always look at the dimensions in pixels - they decide the print quality.
Why enlarging does not help
It is tempting to simply stretch a small photo in a graphics program to a bigger size. Unfortunately that adds no new detail - the program only duplicates the existing dots and guesses what should be between them. The result is usually worse than before enlarging: the image goes soft and the edges lose their sharpness.
The rule is simple and worth remembering forever: a photo is easy to shrink without losing quality, but it cannot be meaningfully enlarged. That is why it is always better to start from the largest, sharpest original you can get.
Where to get good photos
The best and cheapest source is your own camera or phone. Modern phones take photos of several thousand pixels, so they easily suffice for leaflets and often for a poster too. Just shoot in good light and at the highest available quality, and do not shrink the photo in messaging apps before sending - they can slim it down heavily.
When you need a photo you cannot take yourself, reach for legal stock photo banks - some offer free high-resolution photos. Avoid saving images straight from a search engine: they tend to be too small for print and may be protected by copyright.
