Waiter pads

A waiter's pad is a small piece of equipment that helps keep everyday service in order. The waiter comes to the table, writes down the order, notes any extra remarks and then passes the information on to the kitchen or the bar. Everything is in one place: the table number, the items ordered, the extras and the customer's special requests.

You can have a pad like this made to suit the way you work. You choose its size, the paper, the printing and the number of sheets, and the print itself can be a plain page for taking notes or a ready-made form that makes collecting orders easier. Pads work in restaurants, cafés, bars, bistros, hotels, pizzerias, cake shops, food trucks and catering companies.

Printing to your own design lets you create more than an empty pad. Well laid out fields can guide the waiter through the whole order and reduce the risk of mistakes between the floor, the bar and the kitchen.

What you can use waiter's pads for

A waiter's pad is useful anywhere the staff need somewhere quick and handy to write things down. It can be used for:

• taking orders at the table - the dishes, drinks, extras and the customer's remarks, gathered in one place and ready to pass to the kitchen,
• service in restaurants, cafés, bars and bistros - as the classic pad for tables, bar orders or quick notes at the till,
• pizzerias, food trucks and catering - for takeaway, telephone and event orders, where the pace of work and a legible record matter,
• hotels and banqueting rooms - as pads for hotel staff, forms used at banquets or checklists at larger events,
• bookings and notes for the kitchen - for keeping bookings, preparing checklists for waiting staff and internal working notes.

The layout of the pad can be very simple or more elaborate. It all depends on how work is organised in the venue. You can have a version with lines, squares, tick boxes or ready-made columns, for instance "dish", "quantity", "remarks", "drinks", "kitchen" or "to serve".

If the orders are short, a simple layout with plenty of room for notes is enough. Where the staff have to collect the same set of information every time, it is better to prepare the right fields and boxes from the start.

Which format to choose

The calculator offers three practical formats of waiter's pad. Each suits a slightly different way of working:

• A6 - 105×148 mm - a versatile, convenient format. It gives plenty of room for several items of an order, the table number, remarks and extra information. It works well in restaurants, cafés, bistros and classic table service.
• DL - 99×210 mm - a slim, tall format suited to writing orders as a list. The items can be entered one under another, leaving room for quantities, extras, drinks or notes for the kitchen.
• 70×160 mm - narrower and very handy. It fits easily into an apron or shirt pocket, a waiter's organiser or a spot beside the till. It works where quick writing and comfort on the move matter most.

When choosing the format it helps to consider how service works in your venue. For short orders a smaller pad is enough. If the page has to hold more items, a ready-made form or a checklist, A6 or DL will be more practical.

Paper and the binding

We make waiter's pads as glued pads on offset papers. These papers are well suited to writing by hand with a ballpoint, a pencil or a fineliner. Their surface is not slippery, so a pen moves comfortably during quick note-taking and the writing does not smudge so easily.

There are three weights to choose from:

• Offset 80 gsm - an economical, practical paper for everyday use. It works well in pads that are used heavily and get through quickly during service. It is the practical option for larger runs and simple working pads.
• Offset 90 gsm - a little thicker, which makes the sheet a bit more stable to write on. A good version if the pad should feel more solid while staying a convenient everyday tool.
• Offset 120 gsm - thicker and stiffer than the standard offset papers. It can be used on more representative pads, catering forms and pads for hotels, premium restaurants or banqueting rooms, where a single sheet should be more durable.

Printing and the number of sheets

Printing comes in two versions.

The single-sided version is usually enough on a classic waiter's pad. One side can hold the logo, lines, form fields, a table, the table number, the date, the time, the waiter's details and room for extra remarks.

Double-sided printing is useful on fuller forms. One side can be for writing the order and the other can carry an extra checklist, information for the kitchen, a table plan, a short menu, allergen information or procedures for the staff.

You can also choose the number of sheets in one pad:

• 25 sheets - a light, thin, convenient pad. It works well at events, in banqueting rooms, on shorter runs, when testing a new layout, or where the pad should fit easily into a pocket.
• 50 sheets - the most versatile version for everyday work. The pad is not too thick and still holds a good number of orders. It suits most restaurants, cafés, bars and bistros.
• 100 sheets - the largest version, meant for heavy use. It works in busy venues such as restaurants, pizzerias, bars, hotels and catering companies.

More sheets naturally means a thicker pad. For carrying in a pocket the 25 or 50 sheet version may be more comfortable, while for work at the till or a fixed service station you can go for 100 sheets.

On a waiter's pad, comfortable writing and legibility matter especially. The background should not be too dark, and the places meant to be filled in by hand have to stay clearly visible. You will find the exact prices for each version in the calculator above.

The waiter's pad as an order form

The pad can be an ordinary block for jotting things down quickly, or an order form prepared in advance. A repeatable layout of fields helps the waiter collect the details needed in the same order every time, and later makes work easier for the kitchen and the bar.

A form can allow for fields such as: the table number, date, time, waiter, number of people, dish, quantity, extras, remarks, allergies, drinks, how it is served, eat in or takeaway, payment, and a signature or confirmation.

A layout like that can be especially useful in venues with a high turnover of customers, at banquets, in catering and conference service, and in pizzerias or burger bars where extra ingredients are often chosen with the dishes.

The page can also carry the logo and name of the venue, an order number, "kitchen" and "bar" markings, "paid" and "to serve" boxes, a QR code leading to the menu online or a short checklist for the staff.

When designing, restraint pays. The fewer unnecessary decorations, the more room is left for quick, comfortable writing.

File check and graphic design

When you place the order you choose one of the file preparation options:

• No file check - the answer for advertising agencies, designers and anyone confident their design is technically correct. The file goes into production without further graphic control.
• File check by a designer - we check the technical preparation of the file for print, including the format, bleed, safe distances, image quality, colours and how the file was saved. On waiter's pads we also look at the margin at the glued edge, the legibility of the lines and the fields to be filled in, the layout of the page and the preparation for single or double-sided printing. The check is worth choosing especially if the design was made in Canva, an online generator, an office program or with AI tools. Such files may need adjusting to the right format, the bleed, CMYK, the resolution or the margin needed at the binding. The technical check does not cover the content, such as typos, prices, numbers, discount codes, dates, contact details, QR codes, dish descriptions or allergen information. The customer is responsible for their accuracy.
• Simple graphic design - if you have no file ready, send us your logo, the text, the form fields you need, contact details and your guidelines on the layout. We will prepare a simple design matched to the format, paper, number of sheets and printing you chose.

How to prepare the file for print

• Format and colours - a PDF prepared to our specification is best. We also accept good quality JPG and PNG files. Photographs should be at 300 dpi at 1:1 scale, and the design prepared in CMYK.
• Bleed and the margin at the binding - if artwork runs to the edge, add the right amount of bleed. Move the logo, form fields, lines, text, QR codes and contact details away both from the edges and from the glued area. On glued pads that matters especially. Important content placed too close to the binding can be less comfortable to read and fill in while the pad is in use.
• Legibility of what is written - the places meant to be filled in by hand should be large enough. Lines and boxes must not be too dark. It is better to avoid dark backgrounds, very small boxes, heavily decorative typography and too much artwork. Above all the pad has to make it possible to take orders quickly at the table, the bar or the till.
• Checking the content - before sending the design, check all the text, abbreviations, form fields, QR codes, contact details, allergen information, section names and the layout of the tables.
