A holder that makes the first impression at check-in

A hotel key card holder is a small thing, but the guest is handed it at the very start of the stay and usually keeps it until check-out. It protects the key card from dirt and from getting lost, and at the same time it puts the most important information in one place.

You can print the room number, the Wi-Fi details, breakfast hours, the reception number, a QR code or details of extra services on it. A well designed holder is therefore a practical piece of packaging and part of the property's visual identity at once.

The product is not just for hotels. Serviced apartments, guesthouses, aparthotels, spas, resorts and short-term rental companies use it as well.

Outside the accommodation trade a holder can hold a club card, a loyalty card, an access or gift card, a voucher, a ticket, a receipt or a small confirmation.

Die-cut holders - why the shape matters

A holder is not an ordinary rectangular piece of card.

It is a die-cut product, punched out with a special tool called a cutting die. That produces the finished pocket shape with the right slits, the card opening and the fold, crease and glue lines.

Once folded you get a finished sleeve that the card slides into comfortably.

For that reason the design has to be prepared on the correct template or cutting die. The artwork has to allow for the cutting, folding and glue lines, the flaps, and the areas that will be partly or completely hidden once the holder is folded.

Keep the logo, the room number, the QR code, contact details and other important information away from the edges, the fold lines and the card openings. Nothing then gets trimmed off, tucked under a flap or pushed somewhere awkward to read.

With double-sided printing you also need to watch that the outside and the inside are the right way round.

Holder formats - match it to how it will be used

The calculator offers six die-cut versions. They differ in size, construction and the way the card comes out.

• Hotel key card holder, standard - 75×105 mm - the most versatile version for hotels, guesthouses and apartments. It gives you plenty of room for a logo and the basic information for the guest.
• Hotel key card holder for 2 cards - 75×105 mm - made for two cards. It works well in twin rooms, family apartments, or where the guest also gets a parking or service card.
• Card / receipt holder, folded - 60×95 mm - right when you want to hand over a receipt, a small voucher, a confirmation or a short message along with the card.
• Card / receipt holder, glued - 70×105 mm - a more enclosed construction that keeps the card or a small document neatly inside.
• Hotel key card holder, slide-in 1 - 60×90 mm - simple and compact. It has a rounded corner through which the corner of the card shows.
• Hotel key card holder, slide-in 2 - 60×90 mm - just as small, but with a distinctive thumb notch that makes the card easier to slide out.

When you choose the format, think about whether the holder is only meant to hold the card or to carry extra information as well.

If you plan to print Wi-Fi details, breakfast hours, the reception number, a QR code or a small map, a version with a larger printable area will be more convenient.

Paper - from coated stock to rigid board

We print holders on papers and boards suited to products that are held in the hand and used for several days.

The calculator offers three stocks:

• Coated 350 gsm - a stiff, smooth paper that shows colours, photographs and bolder designs very well. A good choice for full-colour holders with strong branding.
• Arktika GC1 board 230 gsm - a lighter board, handy for larger runs and standard hotel holders. It keeps the look attractive without making the sleeve needlessly thick.
• Arktika GC1 board 300 gsm - a stiffer, more solid version of the board. It works well for the more representative holders used by hotels, spas, resorts and apartments.

The paper affects not only how the design looks but also how the holder feels in the hand. It is one of the first physical pieces of the brand a guest meets on arrival.

Single or double-sided printing

We print holders in full colour.

There are two options:

• Single-sided printing - the print is on the outside. That is where you put the logo, the name of the property, the room number, a welcome line or the main graphic element.
• Double-sided printing - lets you use the inside of the holder as well. It is a good place for the Wi-Fi details, breakfast hours, the reception number, a QR code and information about parking, the restaurant, the spa or other services.

On the smaller formats it is better not to try to fit everything at once. A few well chosen pieces of information are far more useful than a wall of tiny text.

Lamination - always

Every board holder in this range is laminated.

The film protects the print, changes the look of the surface and makes the holder more resistant to daily use.

There are three finishes to choose from, each available on one side or on both:

• Gloss lamination - strengthens colours and contrast. It goes well with photographs and vivid designs.
• Matte lamination - cuts down reflections and gives a calmer, more restrained surface. It suits business hotels, apartments and minimalist designs.
• Soft-touch lamination - soft and velvety to the touch. It suits boutique hotels, spas, resorts and other properties that want a more distinguished finish.

If room numbers, dates or names are going to be written on the holder by hand later, it is worth leaving proper space for that.

Writing on laminate can be harder than on plain paper, so it is best to test the particular pen or marker beforehand.

File preparation - three options

When you place the order you can choose how the artwork is handled.

• No file check - for agencies, designers and anyone confident the file is prepared correctly. The artwork goes straight into production.
• File check by a designer - we check the technical preparation of the design: format, bleed, safe distances, image quality, CMYK colours and where elements sit in relation to the cutting die. On holders we also check the folding, creasing and glue lines, the card opening and the areas that may end up covered once the sleeve is folded.
• Simple graphic design - if you have no file ready, we can prepare a simple design matched to the holder version you chose. Send us your logo, the text, contact details and your guidelines on how it should look.

The designer's check is about the technical side.

We do not check the content itself, such as Wi-Fi passwords, phone numbers, opening hours, terms, dates, or whether the QR codes work. The customer is responsible for that information.

The check is particularly worth choosing if the design was made in Canva, an online generator, an office program or with AI tools. Such files can look fine on screen and still need adjusting to the cutting die, the bleed, CMYK or the safe margins.

How to prepare the file

A PDF that follows our specification works best. We also accept good quality JPG and PNG files.

Prepare photographs and artwork at 300 dpi at 1:1 scale, and the design in CMYK.

If the background or artwork runs to the edge, add the right amount of bleed.

Always work on the correct template or cutting die. The design has to allow for the cutting, creasing, folding and glue lines, the flaps and the openings meant for the card.

Keep the logo, text, QR code and other important elements away from the edges, the fold lines and the point where the card slides in and out.
