You know the feeling: a photo looks great on your phone screen, you drop it into a flyer or poster design, and after printing it turns out blurry, dark or oddly coloured. Paper can be merciless - it reveals what a monitor kindly hides. The good news is that most photos can be prepared so that they look genuinely good on paper. In this post we go through it step by step, calmly and in a human way - from checking whether a photo is even usable, to small tweaks that make a huge difference.
- Check the resolution first - print needs 300 dpi at the final size, and you cannot create pixels that are not there.
- The order of edits matters: crop and straighten, then exposure and colour, and sharpening only at the very end.
- Work on a copy and on layers, save losslessly (TIFF or PNG), and avoid saving in JPG over and over.
- If a photo is too small, badly blurred or heavily compressed - it is better to find a different shot or take a new photo than to fight the impossible.
Start with resolution - is the photo even big enough
This is the first and most important step, because everything else depends on it. For print, the accepted standard is 300 dpi (dots per inch) at the final, target size. This means the photo has to have enough pixels to fill the space it will occupy on the print.
And here comes a sentence worth remembering: you cannot "conjure up" pixels that are not there. A program can stretch a small photo onto a larger format, but then it simply duplicates the existing dots - the image becomes soft, blurry and loses detail. Enlarging does not add quality, it just smears the quality you already have.
How to check it quickly
Open the photo and look at its dimensions in pixels - they are in the file information or in the image size window of your editor. A simple rule: to print an image at 300 dpi, you need roughly 118 pixels for every centimetre of print width. A photo that is 3000 pixels wide will print nicely up to about 25 cm - fine for an A5 or A4 flyer, but already too small for an SRA3 320 × 450 mm poster.

Cropping and straightening - tidy up the composition
Once you know the photo is big enough, deal with the composition. This is the cheapest fix you can make, and it can completely change how the photo is perceived.
Start by straightening. A tilted horizon or a leaning building line catches the eye immediately and makes everything look sloppy. Most editors have a simple straightening feature - you just point out what should be horizontal and the program rotates the image for you.
Then crop. Remove from the edges whatever distracts and adds nothing to the photo - random elements, empty spaces, cut-off fragments. Just remember that cropping reduces the number of pixels, so stay sensible and, after cropping, check once more whether the photo is still big enough for print.
Exposure and colour - so paper does not eat the effect
Here we get to the heart of it. A screen emits its own light, so photos look brighter and more contrasty on it than on paper, which only reflects that light. That is why what seems perfect on a monitor often comes out darker and flatter in print.
Brightness and contrast
Start with overall brightness - the photo should be a touch brighter than you think you need, precisely because print darkens things slightly. Then add contrast, but with a light touch. A well-exposed photo has deep but not crushed blacks, and light but not blown-out whites.
Levels and curves
If your editor has a "levels" or "curves" tool, it is worth learning - it is the most precise way to control brightness. In short, they let you set the darkest and lightest points of the photo separately, along with what happens in the tonal middle. Even gentle moves of these sliders can bring breathing room and depth to a photo.
White balance and saturation
Check whether the white in the photo is truly white and not yellowish or bluish - that is white balance. Photos taken under artificial light often have a warm, yellow cast that is easy to correct. Turn up colour saturation sparingly - colours that look overly vivid on screen appear artificial and garish in print. Aim for natural colours rather than the ones from a TV advert.
Before you send a photo to print, look at it in daylight and with the screen brightness turned down. This gets you closer to the feel of paper than a bright monitor in a dark room. If the photo still looks good on a dimmed screen, there is a good chance it will hold up on paper too.
Sharpness, noise and small blemishes - the final polish
Leave sharpening for the very end, after cropping and colour correction. And do it gently. Too much sharpening creates bright halos around edges - the image becomes unnatural, as if someone traced the outlines. A good result is invisible at first glance: the photo simply looks clearer, not "sharpened".
If the photo has grain or coloured speckles - especially photos taken in the dark - use noise reduction. Restraint applies here too, because too much reduction smears detail and skin starts to look like plastic. The goal is to smooth the background, not to erase texture.
Finally, look out for small blemishes: dust, spots on the lens, a stray speck in the background. A spot-removal tool or a clone stamp will handle them in seconds, and the print will gain in cleanliness. Work smart - non-destructively and losslessly
This is the section that is easy to skip, and it really saves your skin. Two rules worth making a permanent habit.
First - work non-destructively. Always start from a copy of the original and apply changes on layers, if the program allows it. That way you can undo a single step at any time without losing the rest of your work, and the original stays untouched in case you want to start over.
Second - watch the save format. JPG compresses the image with loss, meaning that every time you save it, it loses a little quality. You open it, edit it, save as JPG, open it again - and after a few such rounds the photo becomes noticeably worse. While editing, save your working file in a lossless format, such as TIFF or PNG, and leave JPG for the very final step, if it is needed at all.
When a photo simply will not do
Sometimes you have to say it honestly: this photo cannot be saved. And it is better to admit it at the preparation stage than after printing, when the graphic is already on paper.
- Too small. If the photo has too few pixels for the required format and no reasonable resizing of the design helps - enlarging will only make it worse.
- Blurry. A blurry photo cannot be sharpened well. Sharpening emphasises details that are already there, it does not create the ones that are missing.
- Heavily compressed. A photo saved in JPG many times or downloaded from the web in low quality has visible square artefacts you cannot remove.
What then? It is best to go back to the source - look for the original file in higher quality, choose a different, better shot, or simply take a new photo. It sounds like more work, but it is usually faster and cheaper than fighting material that is not up to the task. If you are preparing a project for advertising flyers or another company material, a good photo is the foundation the whole thing stands on.
What to edit photos with
You do not need expensive software to prepare a photo for print. The free GIMP has everything we describe above - cropping, levels, curves, white balance, sharpening and layer-based work. Simpler desktop and phone apps work well too, as long as they let you save the file in the right quality.
Be careful, however, with AI-based upscaling. Such tools can surprisingly improve a small photo, but they sometimes invent details that were not actually there - and on a close look you can spot artificial, "made-up" fragments or strange artefacts. For print, treat them as a last resort, and always view the result zoomed in before you trust it.
